Aldawli Gym features in detail — the complete gym management system
This page explains what Aldawli Gym by Aldawli IT does, module by module: what management runs from the dashboard and what a member does from the club's own app. Everything here runs today in real production for a Saudi club (read the Gerfera case study). The short overview lives on the gym management system page.
1. Memberships and subscriptions
The member's record, plan, branch and trainer live in one place, and every subscription has one clear state — active, expiring soon, expired or frozen — that everyone reads the same way: reception, the entry gate and the member in the app.
- Subscription plans with different durations and prices; renewal from the app or reception with an invoice issued automatically.
- Subscription freeze under rules the club sets, plus discounts and referral offers for members.
- Automatic reminders before expiry, so renewal is not a surprise at the door.
2. Group classes and personal training
The class schedule is managed from the dashboard and shown to members as a weekly calendar where booking takes seconds, within each class's capacity.
- Book and cancel from the app without calls or reception.
- Personal training — session packages and sessions with a trainer in the same calendar.
- Trainer profiles shown to members in the app.
3. Attendance and face-scan entry
The system decides entry at the moment of arrival from the subscription state and records attendance automatically.
- Face recognition devices integrated with the system — the member enrolls once, then walks in.
- The subscription is the key — entry stops automatically on expiry or freeze and resumes on renewal.
- Optional for the member — face entry can be enabled or removed from the app at any time.
- Team attendance — staff and trainers the same way.
4. Payments and e-invoicing
Every transaction — subscription, renewal, training, product or service — ends in an invoice generated by the system automatically, so there is no gap between what was paid and what was recorded.
- ZATCA Phase 2 compliant e-invoicing (integration phase).
- In-app payment with Tabby and Tamara installments, plus multiple payment methods at reception.
- The invoice reaches the customer by WhatsApp and email automatically on payment.
- Refunds and credit notes under a dedicated permission.
5. Reports and dashboard
Revenue, attendance, renewals and subscriptions about to expire — for the whole club or per branch — on one dashboard.
- Financial and operational reports with export, permissioned per role.
- Daily sales report delivered to management on Telegram without opening the dashboard.
- A log of every important action: who did what and when.
6. Branches, staff and permissions
One system for every branch with separate numbers for each, instead of treating each location as an isolated system.
- Roles and permissions for each employee by job — reception, accounting, management.
- Staff and trainer records with their attendance.
- Club settings — contact details, payment methods, notification channels — in one place.
7. Point of sale, store and services
What the club sells beyond subscriptions is managed in the same system and invoiced in the same sequence.
- Point of sale for supplements and gear, with stock.
- Extra services — lockers, fitness assessments, recovery — requested by the member from the app and confirmed by reception.
- Control over which plans, products and services members see in the app.
8. Live gym capacity
How many people are in each zone right now — gym floor, class studio, PT area — shown to members in the app before they leave home, and to management on the dashboard.
9. Communications and automatic notifications
Invoices, reminders and alerts fire from the system itself rather than from reception.
- WhatsApp for invoices, reminders and club messages.
- Push notifications on the member's phone from the club app.
- Broadcasts to a segment of members, and announcements inside the app.
10. The white-label member app
The app is part of the platform and is published on the stores under the club's own name and logo, not Aldawli's — a production example is the Gerfera app on the App Store and Google Play. More on the club app page.
- Membership, classes and payments in one place: subscription state, calendar, renewal and payment.
- Services and products requested from the phone, plus live capacity and face entry control.
- Fully bilingual Arabic and English.
11. Integrations
What Aldawli Gym actually connects to in production:
Common questions
Can a member freeze their subscription from the app?
Yes, within the rules the club sets. Entry stops during the freeze and resumes automatically afterwards.
Does the system support personal training?
Yes — session packages and sessions with a trainer appear in the same calendar the member uses to book classes.
Are the invoices ZATCA compliant?
Yes. E-invoicing is compliant with ZATCA Phase 2 (integration) and issued from the system itself.
Does the club need specific hardware for face-scan entry?
The system integrates with face recognition devices; site equipment is specified with our team case by case.
Does it work for more than one branch?
Yes — central management of branches with separate numbers and permissions per branch, all from one system.
