Gerfera — a complete gym management system and member app

Gerfera is one of Aldawli’s clients in the fitness sector. It runs its daily operations on a platform built by Aldawli — a central club management system and a member app carrying the club’s own identity, from first subscription to the entrance gate. This page documents a real production implementation, not a concept or prototype.

Operational requirements

Gerfera needed the club’s daily operations to run as one connected digital experience rather than separate processes: memberships and subscriptions, class bookings, attendance, invoicing, reporting, multi-branch management, trainers and permissions — with a member experience delivered through an app carrying the club’s own identity, membership status connected to physical entry, and less repetitive manual communication through automated notifications.

The solution: one management system, one branded member app

Aldawli built Gerfera a connected ecosystem: a central management system for the club’s team and a white-label member app under the club’s identity — what a member does in the app appears instantly in the system, and what management decides reflects instantly in the member experience.

The management system: the club’s day in one dashboard

Implemented capabilities: membership and subscription management (registration, renewal, expiry tracking), bookings with automatic class-capacity counting, attendance logging, automatically recorded invoices, a dashboard with revenue/attendance/renewal reporting, and multi-branch management with per-branch trainers and permissions — all in one place.

An app with the club’s identity — not a generic app

Gerfera’s members use an app carrying the club’s own name and identity, not a generic multi-club app owned by the software provider. Members track their membership, expiry date and digital card, book their own classes, and pay their subscription. The two screenshots below are from the Gerfera app itself.

From subscription to the entrance gate

The same subscription status that lives in the system controls entry: the platform supports face-scan entry — a member enrolls their face once and walks in while their subscription is active, no card or receipt, with attendance recorded automatically.

Payments

Members pay their subscription inside the app, with the option to split it via Tabby and Tamara, and every payment is recorded as an invoice in the system automatically — no gap between what was paid and what was recorded. Invoices are issued as ZATCA-compliant e-invoices (Phase 2 integration): signed and reported to ZATCA’s platform automatically by the system itself.

From operation to notification — automatically

In club operations, recording a transaction is not always the end of the job: some operations need an invoice delivered to the customer, a notification to the member, or an alert to management. Gerfera’s requirements therefore included connecting the system to the right communication channels — turning these steps from manual work into automated flows triggered by the system itself.

WhatsApp — for the customer

When any invoice is paid, the system delivers it to the customer via WhatsApp automatically — no one at reception has to send it by hand. Beyond invoices, the implementation supports customer notifications through WhatsApp as a communication channel tied to club operations.

Gerfera app — for the member

The app is not limited to memberships and bookings: the club sends members direct notifications through it — including mobile push notifications — making the branded app an ongoing communication channel in the member experience.

Telegram — for operations

A daily sales report reaches management via Telegram at a time the team configures — faster visibility into activity without opening the dashboard every time.

Multiple branches, one management layer

The platform is built for centralized multi-branch operation: memberships, numbers and permissions are managed from one system with independent per-branch figures — instead of treating each location as an isolated system.

The result

Gerfera operates today on a real production platform — not a concept or prototype:

Common questions

Has Aldawli actually built a working gym management system?

Yes. Gerfera’s platform runs in real production today: a central management system plus a branded member app — the screenshots on this page are from the actual product.

Does the solution include a club-branded app?

Yes — a white-label app under the club’s own name and identity, where members track their membership, book classes and pay. More on the club app page.

Does the system handle memberships and bookings?

Yes. Memberships and subscriptions with their states (active, expiring, expired) are managed in the system, and bookings happen in the app with class capacity counted automatically.

Does it support multiple branches?

Yes — centralized management of branches, trainers and permissions, with independent numbers and reports per branch from the same system.

Can membership be linked to club entry?

Yes. Face-scan entry is implemented in the platform: members enter while their subscription is active, and entry stops automatically when it expires.
